Ask how access is granted and revoked, and prefer role-based permissions over shared logins.
Good support partners do more than close tickets. They notice patterns — the same question asked repeatedly, a confusing checkout step, a policy that generates complaints — and bring those observations back to you. Ask what regular reporting looks like and how improvement suggestions are shared.
Language quality, cultural awareness and overlap with your working hours all affect the customer experience. Discuss how the partner prepares teams for your market and how coverage is arranged across time zones.
A phased start — one channel, one request type or one set of hours — reduces risk for both sides. It gives you real evidence of quality before you commit more volume, and it lets the partner refine documentation with your feedback.
The right partner is the one whose processes you can see, understand and trust — not simply the one with the lowest quote.
